OPERATIONS MANAGER

Variety Coffee Roasters is a New York specialty coffee roaster, founded in 2008. Variety currently has cafés in Williamsburg, Greenpoint, Bushwick, Chelsea and the Upper East Side, as well as a roastery and training lab in East Williamsburg.
Variety believes that coffee should be fun. While we take our coffee seriously, we try not to take ourselves too seriously. Seriously.

We are looking for an organized, motivated and flexible individual to fill this role and help us achieve our goals. This role coordinates all operations at the roastery, and manages communications throughout the company. The Operations Manager reports directly to the Managing Director.

Responsibilities include:

General / Operations

*Collaborate with all departments to create and implement new policies/procedures
*Analyze and improve organizational processes, and work to improve quality, productivity and efficiency.

*Web Store
*Input ship out orders/create label
*Answer questions from subscription customers
*Answer questions about site to potential subscription customers
*Update coffee menu
*Create retail box photo

*Manage info@ email account
*Field/sort all emails
*Answer general inquiries
*Answer/fulfill donation requests
*Answer phone
*Manage office supplies
*Open mail and put in appropriate inbox
*Working with our accountants and bookkeepers
*QB accounting auditing
*W9’s
*Helping with general tasks

Wholesale
*Collect/input wholesale account orders
*Audit/maintain wholesale account information
*Ensuring correct forms are in before ordering
*Updating contacts
*Updating payment info
*Work with Sales Rep and Delivery when delivery issues arise
*Roastery / Production
*Generate production and delivery schedule
*Assist with tracking when deliveries will arrive
*Coordinate wholesale pickups
*Work with Production Manager to manage warehouse stock and order items as needed

Human Resources
*Responsible on-boarding process and updating of employee paperwork
*Insurance responsibilities
*Track when employees become eligible/ineligible
*Enroll/terminate employees’ insurance
*Audit bills each month
*Make sure credits are applied to bill
*Make sure employee roster on each bill is correct
*Day to day operations (forms, phone calls, questions) of worker’s comp., unemployment,
paid family leave
*Process payroll for cafe and roastery
*Tracking raises
*Fielding questions about sick time/PTO
*Assist with staff interviews
*Conduct HR meetings

Retail
*Input cafe orders
*Update cafe menu
*Print drop envelopes
*Send/manage stock misc. items to cafes
espresso, SOE, and coffee of the day cards
* Send rent checks
*Coordinate wholesale orders that will be picked up at cafes

Accounts Receivable
*Input check payments into Quickbooks
*Match ACH transfers
*Record AR Collect payments
*Process credit card payments from wholesale accounts
*Answer questions about statements, checks, balances
*Audit AR report
*Track payment holds on wholesale accounts

Accounts Payable
*Enter weekly invoices
*Mail out checks
*Print out invoices
*Audit AP@ to make sure all vendors we pay by check have invoices printed
*Collect missing invoices
*Work with vendors to audit statements and invoices
