Full-Time Operations Manager

Job Description
KL5 is looking for an Operations Manager to join the team to support both the retail and repair side of the business. This position will require someone that likes to have a variety of tasks and is able to switch gears quickly, can think and problem-solve creatively, as well as a knack for being able to think and act 10 steps ahead, while also managing what’s in front of them. The Operations Manager role will be one that will grow and evolve with the person in it.
Operations
- Process/System Evaluation: Assess current processes and systems, identify areas for improvement, and implement effective solutions.
- Identify gaps in the business operations and proactively identify the pain points to create effective solutions and processes.
Administrative
- General Admin Support: Provide administrative assistance to ensure smooth daily operations.
- Take on additional responsibilities and tasks as needed and as the position evolves.
Retail Operations
- Inventory Management Support: Work with Retail Manager to manage the retail store inventory and place orders as needed
- Field and correspond with online purchase inquiries
- Vendor Management: Collaborate with the Retail Manager to manage vendor relationships and negotiate terms as needed.
- Equipment Knowledge: Be able to speak knowledgeable about the equipment and services KL5 offers
- Assist with equipment rental inquiries and coordination
- Offer support on retail floor when needed
Repair Shop Administration
- Service Inquiry Outreach: Handle inquiries, set up appointments, and ensure prompt responses to customer
- Service Assist with scheduling service appointments on-site and in-shop
- Onboard new clients and keep accounts update to date
- Assist with preliminary outreach for sales of commercial equipment
Financial
- Accounts Payable/Receivable: Manage invoicing, payments, and collections to maintain accurate financial records.
- Manage Petty Cash
HR
- Onboarding & Recruitment: Handle onboarding for new employees, assist with recruitment, and conduct first-round interviews.
- Payroll & Compliance: Manage payroll processing and ensure adherence to employment laws and regulations.
Administrative
- General Admin Support: Provide administrative assistance to ensure smooth daily operations.
- Service Inquiry Outreach: Handle inquiries, set up appointments, and ensure prompt responses to customers.
- Take on additional responsibilities and tasks as needed and as the position evolves.
- Business Insurance Compliance: Ensure KL5 is compliant with insurance requirements
Website Management
- Product Catalog Management: Maintain and update the product catalog, ensuring accurate listings and smooth operations.
- Page Development: Build and update product pages as needed and troubleshoot any issues.
Community Management
- Engage with Community: Build and nurture relationships with customers and local community members to enhance brand loyalty and engagement.
- Community Events: Plan and manage community-focused events to foster connections and increase local presence.
- Support Retail Manager with Events: Assist the general manager in planning and executing events, from logistics to promotion.

Qualifications
- 2+ years of experience as an Operations Manager or Retail Manager
- 3+ years experience of customer facing roles
- Strong experience with interacting with customers over the phone, email, and in person.
- Highly organized with exceptional attention to detail and ability to work independently as well as proactively
- Strong communication, follow-through, and problem-solving skills.
- Process-oriented mindset and ability to prioritize effectively
- Ability to manage multiple priorities
- Flexibility – KL5 is a small business where everyone wears a lot of hats
- Experience with Google Suite and Square
Preferred Experience
- 3+ years experience of customer facing roles
- Coffee industry experience
- Experience supporting multiple departments
- CMS experience
- Social Media Management
Position: Start as a contract worker – 1099 – will discuss transitioning to W2 with benefits after 1 month.
Hourly: $30/hr Paid every 2 weeks
After 1 month trial period, if full-time offer is extended:
Position: Full Time/Salaried/W2 (40 hours per week) 52 weeks/year – Exempt Position
Base Salary: $62,500 – $75,000 based on experience
Benefits: QSEHRA Health Benefit, 401K
PTO: 15 Paid days off – 120 hours (vacation, mental health days, sick) per year (prorated based on full-time start date)
Paid Holidays:
- July 4th
- Thanksgiving + Day after Thanksgiving
- Christmas Eve + Christmas Day
- New Years Eve + New Years Day
